What are the Age Group Coordinator's Responsibilities

Description:
The age group coordinator role is a critical role in our youth soccer organization. Without effective age group coordinator volunteers, our program would not be able to function. Communication and organization are two key attributes that are essential for the coordinator to be effective

The coordinator’s role is to be the main point of contact between the OYS administration and the coaches/parents. The age group coordinator is responsible for a group of teams based on players' age & gender. The VP of Recreation will rely on the age group coordinator to make sure the age groups overseen run smoothly.

The coordinator is responsible for organizing teams, recruiting coaches, finalizing rosters and assigning coaches to teams. You will be tasked with making sure your teams’ coaches are all registered properly with the required training and that they understand their responsibilities as coaches. You communicate with the coaches, who are then responsible for communicating with their teams regarding practice & game schedules. Coordinators are the first point of contact for parents who have questions/concerns or are new to the OYS program.

The bulk of the workload for age group coordinator occurs in the weeks immediately following the close of registration which is the 2nd and 3rd week of July (fall season) and February (spring season). The workload is much heavier in the Fall season than in Spring.

Communication:

The main method of coordination between you & parents and potential/existing coaches. Once teams are formed, the majority of parent communications should be done by the coach(es)
You act as a “filter” to get messages to the person(s) who are able to take action on the request (e.g. play-up requests, field coordination issues, registration issues)

What are the Field Duty Responsibilities?

Description:

Field Duty volunteers are responsible for answering questions about field locations, scheduled games (times/days), and keeping emergency curbs clear. They aid in helping lost children find their families or vice versa, are one of the first points of contact during an emergency in and around the pavilion, and make sure that the teenagers in the snack shack are safe (which is why the volunteer needs to be 18+).  Field Duty volunteers are also asked to help with uniform and ball sorting and distribution, team picture distribution, end-of-season team medal distribution, and past years’ uniform sales.

The referee coordinator has the overall responsibility for assigning, managing, recruiting and retaining club referees.

Responsibilities:
Assign referees to district and recreation games
Games located at Lakeside Sports Park
Know the referees experience level to assign the referee appropriately
Referee retention
Communicating with referees or their parents creates a good repour
Build confidence by giving positive encouragement and support
Oversee the recruitment of club referees.
Know how many referees will be reffing each season
When needed, advertise ref courses.

Oversee referee mentors
Recruit referee mentors to OYS
Offering referee mentors is a positive way to help young referees build confidence

The head coordinator’s role is to be the main point of contact between the age coordinators and the admin. The head coordinator is responsible for overseeing age coordinators. The VP of Recreation will rely on the head coordinator to make sure the age groups overseen run smoothly.

The head coordinator is responsible to help the age coordinators form teams, check on waitlist, roster any players desiring to play up, and recruit and train any new age coordinators needed for the following year. You will be tasked with monitoring the waitlist and communicating with age coordinators on who needs to play up and assisting in grouping documents to be sent to parents.

Log in with your OWN account (not your spouse or child’s account, if necessary create your own account)
Complete registration steps, including prepaid background check
Complete prerequisite SafeSport and Concussion trainings

Head coaches are eligible to have the registration fees reimbursed for 1 player per team coached.

Register as a coach (coach must have own login, not shared with spouse)
Complete two online trainings
Safe Sport Training

Upload trainings to your UYSA account
Agree and sign the Head Coach Responsibility Contract,  AFTER the above steps are completed. ONLY FOR THE HEAD COACH
Once all these steps are completed the refund or promo code will be issued either by the original form of payment or a check mailed to you.
All of these steps must be completed each year, ONE week after the first game of the season
